Building a Timeline

How to create, edit, reorder, and manage entries in your wedding day timeline.

The timeline builder is where you lay out the minute-by-minute schedule for the wedding day. You can add entries manually, generate them with AI, or load from a saved template.

Adding Entries

Click Add Entry in the top right of the timeline builder. Each entry has:

  • Title — what is happening (e.g., "First Dance")
  • Start time — when it begins
  • End time — optional, for entries with a defined duration
  • Location — where it happens (optional)
  • Notes — additional details (optional)
  • Key Moment — toggle this on for important milestones like the ceremony or first dance. Key moments are always visible in vendor-filtered views, even if the vendor is not directly assigned.

Editing and Deleting

Click the pencil icon on any entry to edit it, or the trash icon to delete. On mobile, these buttons are always visible. On desktop, they appear when you hover over the entry.

Dragging to Change a Time

Entries are sorted by time automatically, so the way to move one is to change when it happens. Drag any entry by the grip handle on its left and it retimes as you go, snapping to five-minute steps — its end time shifts with it, keeping the duration you set.

It is the quickest way to nudge something that has slipped by ten minutes, without opening the entry.

Time Periods

Entries are grouped visually by time of day — Late Night, Morning, Afternoon and Evening — so you can quickly scan the flow of the day. Anything before 5am falls under Late Night, which is where a late send-off usually lands.

Assigning Vendors and Participants

Each entry can be assigned to vendors or participants (bride, groom, wedding party). There are two ways to assign:

  • From the entry: Click the people icon on an entry to open the assignment dialog
  • From the vendor sidebar: On desktop, click a vendor in the sidebar to enter assign mode, then click entries to assign them. Click the vendor again or press Escape to exit

Assignments appear as small pills on each entry. Click the X on a pill to remove an assignment.

Participants you add here for scheduling (wedding party members, family) are timeline participants — they're kept separate from the event's Additional contacts list, so a large wedding party never clutters your contacts or payor options.

Shifting Times

If the ceremony moves or prep needs to start earlier, you do not need to edit every entry individually. Open the Shift Times dialog from the toolbar menu:

  1. Select which entries to shift using the checkboxes, or use the arrow buttons to quickly select everything before or after a specific entry. The confirm button counts what you have picked — "Shift 6 Entries"
  2. Set the amount of time to shift (hours and minutes)
  3. Choose whether to shift later or earlier
  4. Confirm

Only the entries you selected will move. Entries you leave unchecked stay where they are.

Templates

You can save your current timeline as a template to reuse for future events, or load a previously saved template. Templates preserve entry titles, times, and structure but not vendor assignments (since those are event-specific).

When you load a template, Gilded anchors it to your event — it slides the whole schedule so the template's ceremony lands on your event's ceremony time, keeping the relative spacing but matching your day. (If the event has no ceremony time set, the template's own times are used as-is.)

Clearing the Timeline

To start over, use Clear All & Start Over in the toolbar menu. It removes every entry (after a confirmation) so you can rebuild from scratch or regenerate with AI.
