Calendar Export

How to export your wedding timeline to Google Calendar, Apple Calendar, Outlook, or any calendar app.

You can export your timeline as a calendar file that works with Google Calendar, Apple Calendar, Outlook, and any other app that supports the standard iCal format.

Exporting from the Builder

In the timeline toolbar, open the menu and click Add to Calendar. If your event has vendors or participants assigned, you will see options to export:

  • Full Timeline — every entry
  • Per vendor — only entries assigned to a specific vendor plus milestones
  • Per participant — only entries assigned to a specific person plus milestones

This downloads an .ics file. Open it and your calendar app will offer to import the events.

Exporting from a Shared Link

Vendors and clients who receive a shared timeline link can also export to their calendar. They will see an Add to Calendar button at the top of their shared timeline page. The export automatically includes only the entries visible to them.

Time Zones

Calendar events are exported in the time zone set on the event. This means if a vendor is in a different time zone than the wedding, their calendar will still show the entries at the correct local time for the event.

You can set or change the time zone in the event form under Event Details. By default, Gilded uses your browser's time zone when you create an event.

What Gets Exported

Each timeline entry becomes a calendar event with:

  • Title — the entry name
  • Start and end time — in the event's time zone
  • Location — if set on the entry
  • Description — if set on the entry

Tips

  • Export the full timeline to your own calendar so you have the complete schedule on your phone during the wedding
  • Share per-vendor exports with vendors who prefer calendar events over a web link
  • If the timeline changes after exporting, you will need to export again — calendar files are a snapshot, not a live sync
