The Documents Page

How to find, filter, search, and sort your documents, and what each status badge means.

The Documents page is where all your proposals, contracts, and combined documents live. You can get to it from the sidebar by clicking Documents. There is no separate page for proposals versus contracts — everything is in one place with filters to help you find what you need.

Filtering by Type

Along the top of the page, you will see filter tabs: All, Proposals, Agreements, and Combined. Click any tab to narrow the list down to just that document type. The count next to each tab tells you how many documents match.

If you mostly work with combined documents, you might find yourself on that tab by default. If you send proposals and contracts separately, switching between those two tabs keeps things organized.

Searching and Sorting

The search bar at the top filters documents by client name, event name, or document title as you type. This is the fastest way to find a specific document when you know who it belongs to.

The sort dropdown next to the search bar lets you change the order of the list. You can sort by date created, date sent, client name, or status — whichever makes sense for how you work.

Completed Events and Archived Documents

By default, documents from completed events are hidden from the list. This keeps your active work front and center without old documents cluttering things up.

If you need to find a document from a past event, toggle Show completed at the top of the list. All documents reappear, including those from events that have been fully paid and marked complete. Toggle it off again when you are done.

Status Badges

Every document in the list shows a colored status badge. Here is what each one means:

  • Draft — you are still building this document and have not sent it yet. You can edit, preview, and delete drafts freely.
  • Sent — the document has been sent to your client but they have not opened it yet. If it has been a few days, it might be worth a follow-up.
  • Viewed — your client opened the document and looked at it. For proposals, this means they are reviewing your offering. For contracts, they have seen the terms but have not signed yet.
  • Approved — proposals only. Your client clicked "I'd Like to Move Forward" and is ready for the next step. Time to send a contract.
  • Signed — contracts and combined documents. Your client signed electronically and the agreement is binding. If the document requires multiple signatures (client, partner, planner), this badge appears once everyone has signed.

Working with Documents from the List

Click any document to open it. What happens next depends on the status:

  • Draft documents open in the builder so you can keep editing.
  • Sent or viewed documents open to the document detail where you can resend, check activity, or view the document as your client sees it.
  • Signed documents open a read-only view with the signed PDF available for download.

You can also use the action menu (the three-dot icon on each document card) for quick actions like editing, deleting drafts, or resending.

Tips

  • Use the search when a client calls and you need to pull up their document fast.
  • Check the Sent tab periodically for documents that have been sitting unseen — those are follow-up opportunities.
  • Keep completed events hidden unless you are looking for something specific. It makes the daily view much cleaner.
